How to Choose a Wedding Planner in Las Vegas

Heidi and Ryan met with a long list of wedding planners before they hired us. What made the decision was not a portfolio or a price sheet. In Heidi's words, she could tell Tara "genuinely loved what she did," and when she emailed at 9:30 at night with a list of questions, the answers were waiting for her the next morning. That is the part of choosing a planner nobody prints in a brochure, and it matters more than almost anything else.

Here is how we would suggest approaching the decision, from a studio that has been planning Las Vegas weddings since 2010.

Start with how much help you actually want

"Wedding planner" covers three quite different jobs, and the right choice begins with knowing which one you need.

Day-of management, which some planners call coordination, suits couples who have planned the wedding themselves and want professionals protecting that work. Ours begins six weeks out with a logistics review, a contract check and a detailed production schedule, then carries through the rehearsal and the day itself. Here is how it works.

Partial planning suits hands-on couples who would like an experienced guide at the decision points. Ours is built around four working sessions covering the budget, vendor referrals, design and the production schedule, and we run the wedding day. More on partial planning.

Full planning and design suits couples who would rather hand one team the whole vision, from venue scouting to the last dance. It is also the natural fit for a destination wedding or a celebration that stretches across a weekend. More on full planning.

Be honest with yourselves about time. Plenty of couples love the planning; others are running careers and simply want it handled. Either is the right answer if it is your answer.

Look for weddings that resemble yours

A beautiful portfolio tells you a planner has taste. A portfolio full of weddings at your kind of venue, at your guest count and in your season tells you they have already solved your problems. Las Vegas has its own logic: a Strip resort runs differently from a desert canyon, and a July afternoon outdoors asks for a very different plan than an October evening. Ask to see full galleries rather than highlight images, and ask about a day that went sideways and how it was handled.

Questions worth asking at the consultation

  • Who will be on site on the wedding day, and how many people?
  • How do you communicate, and how quickly do you usually reply?
  • Which vendors do you work with most often, and how do you choose them?
  • What happens if you are unwell on our date?
  • How many weddings do you take on in the same weekend?
  • What exactly is included, and what would cost extra?

Listen to how the answers are given as much as to what they say. A planner who is calm and specific in a consultation tends to be calm and specific on the day.

Compare scope, not just price

Planning prices in Las Vegas vary widely, so compare what is included rather than the totals alone. Our day-of management starts at $3,000 and partial planning at $6,000, both depending on venue, guest count and date, and full planning and design is custom quoted. Whoever you choose should put the scope in writing after your consultation, so you know exactly what you are buying. Our investment page walks through ours, and our guide to what a Las Vegas wedding really costs covers the rest of the budget.

A planner's relationships are part of that value. Megan and Tripp said it plainly after their Southern Highlands wedding: Tara "has excellent vendor relationships." The right introductions can save you money, time and a few sleepless nights.

Trust the feeling, then check the facts

You will spend more time with your planner over the coming months than with almost any other vendor, so chemistry is not a soft factor. Notice whether you feel heard, whether your ideas are being shaped rather than replaced, and whether you leave the conversation calmer than you arrived. Then confirm the practical side: a written contract, a clear payment schedule and reviews on more than one site from couples whose weddings looked like yours.

When to start the search

If you are considering full planning, it helps to reach out before the venue contract is signed. Choosing the venue is one of the first and largest decisions, and it is often where a planner's experience saves you the most. For day-of management, the best time is once your venue and core vendors are in place, well before the final six weeks begin.
